AIBiz Maintenance Help Center

Start Here

  • Add assets or equipment that need service history.
  • Create recurring schedules for preventive maintenance.
  • Save service logs after each repair, inspection, or routine service.
  • Use the dashboard to review overdue schedules and recent service activity.

Assets

  • Assets store type, serial number, location, install date, warranty date, and Cloud folder reference.
  • Use Active for items in service, Inactive for stored items, and Retired for removed items.
  • Notes can hold vendor, model, warranty, service provider, or internal tracking details.
  • Update asset location and status before creating new schedules or service logs.

Schedules

  • Schedules track frequency, due dates, instructions, and status.
  • Overdue schedules show when the due date has passed and the schedule is still active.
  • Pausing a schedule keeps it visible without counting it as active work.
  • Use clear instructions so staff knows exactly what service should be performed.

Service Logs

  • Logs record who performed service, what happened, parts used, cost, and next due date.
  • Completed logs update the linked schedule's last completed and next due dates.
  • Cloud file slug can point to receipts, photos, or inspection documents later.
  • Add notes for problems found, parts replaced, follow-up needed, or warranty questions.

Maintenance Workflow

  1. Create or update the asset record.
  2. Create a schedule for recurring service or inspection.
  3. Review due and overdue schedules at the start of each week.
  4. Create a service log after work is performed.
  5. Attach receipt, photo, or checklist references when Cloud is connected.

Suite Integrations

  • Emailer can send due-service reminders once connected.
  • Projects can create maintenance tasks for staff follow-up.
  • Cloud and Vault can store service folders, photos, receipts, and checklists.
  • Control Panel manages subscriber access, plan status, quotas, and shared login later.

This app tracks maintenance operations and service history. It does not replace regulated inspection, safety, fleet, or compliance software when a specific industry rule requires one. For support, include the asset name, schedule, due date, service log, and whether the work is due, overdue, completed, or paused.
